Talvio (“Talvio,” “we,” “us,” or “our”) provides an AI-powered phone receptionist service for businesses. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. It applies to our website at talvio.ai, our dashboard application, and the receptionist services we provide.

1. Information We Collect

Information you provide

When you sign up and use Talvio, we collect:

  • Account information — your name, email address, and login credentials (handled through our authentication provider).
  • Business information — your business name, hours, services, service area, payment methods, and the FAQ/knowledge content you add for your receptionist.
  • Billing information — subscription plan details. Payment card data is handled directly by our payment processor; we do not store full card numbers.

Information collected through the receptionist

When the AI receptionist answers calls on your behalf, we process:

  • Caller phone numbers and the content of calls.
  • Call recordings, transcripts, and summaries used to handle and log calls.
  • Appointment and customer details — names, phone numbers, dates, times, and related notes captured during a call or entered in the dashboard.
  • SMS messages sent for booking, rescheduling, and cancellation confirmations.

Information collected automatically

  • Basic usage and device data (such as browser type and log information) when you use our website and dashboard.

2. How We Use Information

We use the information we collect to:

  • Provide, operate, and improve the Talvio receptionist service and dashboard.
  • Answer calls, book and manage appointments, and send confirmation messages.
  • Process subscriptions and billing.
  • Provide customer support and respond to your requests.
  • Maintain security, prevent fraud and abuse, and comply with legal obligations.

3. How AI Is Used

Talvio uses third-party artificial intelligence services to power voice handling, speech recognition, and conversational responses. Information processed during calls (such as audio and transcripts) is shared with these AI service providers solely to deliver the receptionist functionality. We do not sell your data, and we do not use customer call content to train third-party public AI models.

4. How We Share Information

We do not sell your personal information. We share information only with service providers who help us operate Talvio, and only as needed to deliver the service. These include providers for:

  • Voice and AI processing — to answer and handle calls.
  • SMS messaging — to send booking and appointment confirmations.
  • Authentication — to manage secure sign-in.
  • Database and hosting — to store and serve your data securely.
  • Payment processing — to manage subscriptions and billing.

We may also disclose information if required by law, to enforce our terms, or to protect the rights, safety, and property of Talvio, our customers, or others.

5. SMS Messaging and Consent

Talvio sends SMS messages on behalf of businesses for transactional purposes such as appointment booking, rescheduling, and cancellation confirmations, and to reply to questions. Consumers opt in in one of two ways: (1) by calling the business and providing their phone number to the AI receptionist when booking, rescheduling, or cancelling an appointment, at which point they consent to receive an SMS confirmation at that number; or (2) by sending a text message to the business’s published phone number first, which constitutes consent to receive reply messages. Consumers only receive messages tied to an appointment or interaction they initiated.

Message and data rates may apply. Message frequency varies based on your activity. Reply STOP at any time to opt out of further messages, or reply HELP for assistance.

SMS opt-in data and consent are never shared with third parties or affiliates, and are never shared or sold for marketing or promotional purposes at any time.

6. Data Retention

We retain information for as long as your account is active or as needed to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your data as described below.

7. Data Security

We use reasonable administrative, technical, and organizational measures to protect your information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your Choices and Rights

Depending on your location, you may have the right to access, correct, or delete your personal information, or to object to or restrict certain processing. To make a request, contact us using the details below. Callers and message recipients can opt out of SMS at any time by replying STOP.

9. Children’s Privacy

Talvio is intended for use by businesses and is not directed to children under 13. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top of this page. Significant changes may be communicated through the service or by email.

11. Google Calendar Integration

Talvio offers an optional integration with Google Calendar. If you choose to connect your Google account, Talvio requests permission to manage events on your calendar (the Google Calendar API calendar.events scope) so that appointments booked, rescheduled, or canceled through your AI receptionist are automatically reflected in your calendar.

What we access and why

  • We create, update, and delete only the calendar events that Talvio itself generates from your bookings.
  • We do not read, collect, or store your other calendar events, contacts, or personal calendar data.

What we store

  • A Google authorization token, used solely to create and manage your booking events. You can revoke it at any time.
  • The identifiers of the calendar events Talvio creates, so we can keep them in sync when an appointment changes.

How to disconnect

You can disconnect Google Calendar at any time from your Talvio dashboard under Business Settings, or by revoking access directly in your Google Account permissions. Disconnecting stops all future syncing and removes your stored authorization token.

Talvio’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not sell Google user data, use it for advertising, or transfer it to third parties except as needed to provide the calendar sync feature you request.
